Sending a Case to a Backoffice System
Your configuration determines whether you must complete certain tasks before sending a case to a backoffice system. There are two possible configurations. In the first, only cases with the status Prepared for Send can be sent to a backoffice system. The button in the Actions column will only display against cases with this status and the system will display an error message if you try to send multiple cases where one or more of the selected cases does not have this status, Case has invalid status. Must have status Prepared for Send. See Preparing the Case for Send below.
In the second configuration, all cases can be sent to a backoffice system from your open list by clicking in the Actions column. In this configuration, cases you send to a backoffice system will remain in your Open list. If you send the same case a second time, only the case attachments added since the previous send will be sent with the case.
Before Sending the Case
If you are required to prepare cases for send, you must complete the following tasks before sending to the backoffice system.
- Calculate repair costs and ensure the appropriate calculation is selected in the Calculation Output page. See Performing the Calculation and Selecting Calculations for more information.
- In some configurations, the system only displays the last calculation performed. If so, it is not necessary to select a calculation.
- Perform a long valuation and select the long valuation report in the Attachments or Categorised Attachments page. When you do this, the system will include the report with the case when it is sent. See Performing a Long Valuation and Selecting Attachments for more information.
- Generate and select required reports. See Printing Reports and Lists. You will be able to select these reports to send with the case in the Prepare to Send to ABS page.
- In some configurations, a number of reports are created automatically when you open the Prepare Send to ABS page. These might include a calculation report, activity report, vehicle owner report and repairer report.
Once you have completed these tasks, you can proceed with the send.
Preparing for Send
- Click Prepare Send to ABS from the menu.
- Select the desired calculation, valuation and attachments.
- The system will automatically select the vehicle owner report to send with the case. The system will create this report for you when you open the Prepare Send to ABS page.
- If the system performed an alternative parts calculation for a cash settlement, you can choose which calculation to send with the case, the OEM calculation or the alternative parts calculation. * denotes an alternative parts calculation. If you select the normal calculation, the system will ask you to select a reason for doing so.
- If configured, the system will prevent you from selecting and sending the normal calculation. The system will pre-select the alternative parts calculation.
- Click Prepare for Send.
- If the case does not require approval, the status of the case will change to Prepared for Send. It will remain in your Open list until you are ready to send it.
- If the case requires approval, assign the case to the user or organisation responsible for approval. See Assigning a Case. The case will be re-assigned to you with the approval decision. If approved, re-open the Prepare Send to ABS page and click Prepare for Send. If not approved, refer to the reason given before deciding what changes to make to the case. - If you re-open a case that was approved and sent to the backoffice system, the system will re-perform the check.
Sending the Case
- Click
in the Actions column against the case you wish to send. - When prompted, click:
- OK to send. The system will now display a dialog box showing the results of the send.
- The case is moved to your Sent list and your Closed list. If you want to re-open it, to make changes, you must do so in the Closed list.
- Cancel if you do not wish to send.
Note: You can also send multiple case by selecting them and clicking at the top of the list. Refer to Performing Actions on Multiple List Items for more information about performing actions on multiple cases.
