Adding Attachments
The exact method of adding attachments depends on the configuration of the system.
- Navigate to the Open list.
- Open the case by clicking
in the Actions column. - Click Categorised Attachments / Attachments from the menu bar.
- Add attachments to the case:
Method 1 - Attachments Page
- For each individual attachment you wish to add, click Browse and navigate to the correct file location.
- Click the file you wish to add.
- Click Open.
- Click Upload. The system adds the attachment to the correct category for the file type.
Method 2 - Categorised Attachments Page
- Click Add File in the desired attachment category. The Open dialog box displays.
- Navigate to the correct file location. Click
to view files as thumbnails. Click to view the details of files. - Select the files.
- In a Windows based system, you can select multiple files by depressing CTRL and left clicking on each file. Alternatively, select all by depressing CTRL + A.
- Click Upload. The system places the selected files in the correct category and displays the date and time the attachment was added.
Notes:
- The system will prevent the upload of an attachment if it is found that it contains a virus, malicious code or is of a file type that is not permitted. The system will display a message to inform you why the attachment was blocked.
- If an error occurs in the upload of an attachment, the system will display the following error message: It was not possible to upload the files to the server. Would you like to try again? You can try to upload the attachment again by clicking Yes.
- The file formats that you can attach to a case is configurable.
- In some configurations, you can define the attachment categories. In other configurations, these categories are defined by your organisation.
- If configured, you can move attachments from one category to another. Refer to Moving Attachments for more information.
- If configured, you can select the content type for each attachment category by making a selection from the list box displayed below the attachment filename.
- If configured, the system will truncate the filename of any file you attempt to add to a case. This means that if the filename exceeds the character limit, the system will ignore all of the characters after the character limit. For example if the limit is 20 characters, the system will ignore all of the characters after the 20th.

What considerations do I need to pay attention to when adding attachments?
In some configurations, the system places a limit on the size of individual attachments that you can upload and a limit on the total number of KBs you can upload. If you exceed either limit, the system will either reduce the image size and resolution to accommodate the attachment or simply prevent you from uploading it. If the system does prevent you from uploading an attachment, a message will display on the page:
- If an individual attachment is too large, the system will display the following message: This file is too big and cannot be uploaded.
- If you have reached the total number of KBs that you can upload, the system will display the following message: You already selected the maximum size of files in KBs allowed to upload.
Why is the quality of an image I attached inferior to the quality of the original image?
In some configurations, when you upload an image, the system automatically reduces the image size and image resolution. This might result in poorer image quality but should not affect the ability of the user to view the image and in particular view vehicle damage.
